Job Description

The Marketing & Office Coordinator role will be responsible for getting involved in a wide variety of Marketing projects covering industry events, product marketing, digital marketing. 25% of the role is also responsible for administrative duties relating to the smooth running of the London office.

Marketing duties:

Project Coordination
  • Monitor the daily and weekly progress of projects, ensuring Jira is being kept up to date by the team to track project workflows and statuses
  • Planning meetings and organising project logistics, documenting, and following up on important actions and decisions from meetings
  • Preparing necessary presentation materials for meetings
  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project
  • Develop and manage all internal Marketing communication systems and processes such as Jira and Wiki
  • Providing detailed updates to various member of the MKT team or other stakeholders Coordinator with stakeholderss
    • Key contact point for Marketing team for general enquiries and for internal stakeholders
    • Liaise with and be the main point of contact with the European Commercial team on all requests and projects Work with the MKT team on key MKT tasks such as:
      • Assistance with preparations for global exhibitions, including ICE London
      • Provide fact-checking, copy-editing, proof-reading and formatting assistance during the creation of presentations, marketing collateral, website content, and other promotional materials
      • Organise and plan the production of all major marketing materials by working closely with printers, publications, and other involved parties
      • Assist with any ad-hoc tasks in a timely manner Website updates and Client Area
        • Assist with conducting UAT and monitoring website for any issues and log as necessary
        • Posting online content on the company's website
        • Maintenance of the Client Area, including uploading and tagging all new assets in conjunction with other team members
        • Key contact person for internal and external stakeholder for any Client Area login requests or issues General administrative duties
          • Manage general office tasks to ensure a smooth day-to-day running of the office
          • Be responsible for all clerical duties such as distributing all post, copying, scanning, filing, monitoring invoices and managing all stationery/office supply requests
          • Perform errands that assist daily functions: online/offline grocery shopping, track holiday and sick days
          • Arrange travel and accommodation for ad-hoc journeys and assist MKT around key shows
          • Compile monthly reconciliation spreadsheets for the company credit cards
          • Assist the Property Management Department
          • Co-ordinate office repairs and maintenance - be responsible for Health & Safety requirements
          • Organise office activities, such as the Christmas and Summer party
          • Fulfil any internal requests made by the Office Management department on an ad-hoc basis. Qualifications
            • Marketing/Business degree preferred
            • Previous experience in a similar marketing role in a B2B environment
            • Highly organised with project management skills
            • Superior attention to detail
            • Excellent communication skills
            • Ability to multi-task and adhere to deadlines
